The Rooms page lets you review and manage the rooms and rate plans set up for your property.
Use this page to:
- Review room and rate plan details
- Create a new room
- Add a normal/direct rate plan
- Add a TPS-linked rate plan
- Open room or rate plan settings
- Turn rooms or rate plans on or off
- Check rate plan status, connection, and sync indicators
Before you start
You need access to your Property Account.
The actions available on this page may depend on your account permissions and property setup. Some users can create and update rooms and rate plans, while others may only be able to review existing details.
Some icons, IDs, and connection indicators are shown for reference and cannot be edited manually.
A few terms used on this page
- Room - the room type available at your property, such as Deluxe Room or Superior Room.
- Rate plan - the pricing and policy setup linked to a room, such as refundable, non-refundable, room only, or breakfast included.
- Direct rate plan - a normal rate plan created directly under the property.
- TPS-linked rate plan - a rate plan linked to a TPS account. This must be created by selecting TPS and choosing the correct TPS account.
- Channel Manager - a third-party system used by some properties to sync rates and availability.
- Demand Partners - booking platforms or partners where your rooms and rates may be distributed.
- Derived Rate Plan - a rate plan linked to another rate plan setup. If this indicator appears, it is shown for reference.
How to open Rooms
- Log in to your Property Account.
- Go to Inventory.
- Select Rooms.
You will see the Rooms & Rate Plans page.
Understanding the Rooms & Rate Plans page
Each room appears with its related rate plans listed beside it.
For each room, you may see:
- Status toggle - showing whether the room is active or inactive
- Ref.ID - which is the room reference ID
- Room Details - showing the room name
- Gear icon - used to open room settings
- Minus icon - used to collapse the rate plans under the room
- Add Rate Plan - used to create a new rate plan for that room
For each rate plan, you may see:
- Status toggle - showing whether the rate plan is active or inactive
- Ref.ID - which is the rate plan reference ID
- Rate Plan Details - showing the rate plan configuration
- Plus icon - used to open or add related rate plan details
- Connection icon - showing that the rate plan is linked to another setup or system
- Info icon - used to view more rate plan details
- Gear icon - used to open rate plan settings
- Coloured indicator - showing connection or sync status for the rate plan, if available
Do not rely on colour alone to decide what to update. Always check the Ref.ID, rate plan name, and connection details before making changes.
Create a room
Use this option when you need to add a new room to your property setup.
A room should be created before adding rate plans. The room setup should be accurate because the rate plans are linked to the room.
- Go to Inventory > Rooms.
- Click + Create Room.
- Complete the room details.
- Add the required room information, services, facilities, and any other required details.
- If a photo album is required, select an existing album from your multimedia setup.
- Click Create Room.
After the room is created, it appears on the Rooms & Rate Plans page with its own room Ref.ID.
Add a rate plan
Use this option when you need to add a new rate plan to an existing room.
A rate plan controls the pricing and policy setup for the room, including details such as refundable setup, beds allocation, occupancy rules, meals treatment, and sales restrictions.
- Go to Inventory > Rooms.
- Find the room you want to update.
- Click Add Rate Plan.
- Select the correct customer segment:
- Direct - select this for a normal/direct rate plan.
- TPS - select this if the rate plan needs to be linked to a TPS account.
- If you select TPS, search for and select the correct TPS account name from the dropdown.
- Click Add.
- Complete the rate plan details.
- Review the rate plan setup, including beds allocation, occupancy rules, meals treatment, and sales restrictions, where applicable.
- Save or create the rate plan.
Important: For TPS-linked rate plans, make sure TPS is selected and the correct TPS account is chosen before clicking Add. If this is not selected, the rate plan may be created as a normal direct rate plan instead of a TPS-linked rate plan.
After the rate plan is created, it appears under the selected room with its own rate plan Ref.ID.
Review or update a room
Use the gear icon beside a room to open the room settings.
Depending on your access, you may be able to review or update details such as:
- Room name
- Room type
- Room status
- Room information
- Room services or facilities
- Photo album or multimedia details
- Other room setup details
After making changes, save the update and return to Inventory > Rooms to confirm the room details are showing correctly.
Review or update a rate plan
Use the gear icon beside a rate plan to open the rate plan settings.
Depending on your access and setup, you may be able to review or update details such as:
- Rate plan name
- Refundable or non-refundable setup
- Channel Manager setup
- Beds allocation
- Occupancy rules
- Meals treatment
- Sales restrictions
- Rate plan status
Some rate plan fields may be shown for reference only, especially where the rate plan is linked to another setup or system.
After making changes, save the update and return to Inventory > Rooms to confirm the rate plan details are showing correctly.
Beds allocation
Use this section to review or update bed allocation rules for the rate plan.
You may see options for:
- Extra beds
- Cradles or baby cots
- Maximum number allowed
- Whether the option is available or not available
Only enable extra beds or cradles if the room can support them operationally.
Occupancy rules
Use this section to review or update who can stay under the rate plan and how they are charged.
You may see rules for:
- Adults
- Children
- Infants
- Age ranges
- Fixed charge
- Percentage charge
- Free stay
- And/Or rule combinations
Check occupancy rules carefully before saving. Incorrect occupancy rules can affect how the rate plan is priced or applied.
Meals treatment
Use this section to review or update the meal setup linked to the rate plan.
You may see options such as:
- No Meals or Room Only
- Breakfast
- Half Board
- Full Board
- All Inclusive
- Whether the meal is included or not included
Check that the meal setup matches the rate plan name and product being sold.
Sales restrictions
Use this section to review or update where the rate plan can be sold.
You may see options for:
- Sales channels
- Restricted countries
- Demand Partner restrictions
- Other restriction settings available for the rate plan
If no restriction is selected, the rate plan may be available according to the property’s connected setup.
Turn a room or rate plan on or off
Use the status toggle to turn a room or rate plan on or off.
Turning a room or rate plan off does not remove it from the page. It remains visible so it can still be reviewed and tracked.
Before turning anything off, check that you are updating the correct room or rate plan Ref.ID.
Status and connection indicators
The Rooms & Rate Plans page may show different icons or indicators depending on the room, rate plan, connection type, and account setup.
You may see:
- Status toggle - showing whether the room or rate plan is active or inactive
- Blue indicator - showing a normal/direct rate plan
- Yellow or orange indicator - showing a TPS-linked rate plan
- Connection icon - showing that the rate plan is linked to another setup or system
- Derived Rate Plan indicator - showing that the rate plan is linked to another rate plan setup, if available
- Info icon - showing more rate plan details
- Gear icon - used to open settings
- Plus icon - used to open or add related rate plan details
- Minus icon - used to collapse the rate plans under a room
Before making changes, check the Ref.ID, rate plan name, and colour indicator to make sure you are updating the correct direct or TPS-linked rate plan.
How to check it worked
After creating or updating a room or rate plan:
- Return to Inventory > Rooms.
- Find the room or rate plan you updated.
- Check that the correct Ref.ID is showing.
- Check that the room or rate plan name is showing correctly.
- Check that the status toggle is set correctly.
- For TPS-linked rate plans, check that the rate plan shows the expected TPS or connection indicator.
- Open the room or rate plan again if you need to confirm the saved details.
If the update does not show correctly, refresh the page and check again.
