User Segments allows you to organise registered users into distinct groups, each with its own rules, pricing configurations, and access settings. It exists so that different types of users can have tailored experiences on the portal without needing separate portals.

1. Pre-Requisites
Before working with Segments, the following areas of the platform must be configured or understood.
| Area | Why It Matters |
| Portal Setup Wizard | Business model, payment terms, and base rate logic are sourced from portal creation. These values populate segment configuration and are not re-synced after creation. |
| Forms Section (User Agreements) | The User Agreement field within a segment can only be enabled if user agreements have already been created in the Forms section. If none exist, the toggle remains disabled. |
| Portal Status | The Segments page is inaccessible if the portal is in a Delete Pending or Deleted state. |
2. Create and configure your segments
2.1 Navigating to the Segments Page
Only portal admins can access and manage this page. If you do not have admin-level access, the page will not be available to you.
- Login to Bakuun and navigate to the Portal
- Click Settings on the top menu bar
- Click Segments on the left menu
2.2 Understanding the Segments Table
When you arrive on the Segments page, you will see a table listing all existing segments for your portal.

| ID | A system-generated ID unique to each segment. Clicking this navigates you to the segment's Rules view. |
| Title | The name given to the segment. Truncated at 25 characters in the table and you can hover over it to see the full title. |
| Description | A brief description of the segment. Truncated at 60 characters and you can hover to reveal the full text. |
| Accounts |
The number of registered users currently assigned to this segment. This count updates automatically as users are assigned or reassigned. A count greater than zero will block deletion of the segment. |
| Last Updated | The date of the most recent modification to the segment, formatted as DD MMM YYYY. This updates when a segment is created, edited, or duplicated and saved. |
2.3 Creating a New Segment
Creating a segment allows you to define a distinct group of users with specific pricing, verification, and agreement settings.
You can view segment rules and details after creation by clicking on the segment ID.
- Click + Create Segment
- You will be prompted to fill in a form to provide details of your User Segment
2.3.1 Segment Title & Description Fields
Segment Title and Description will define how the segment is identified by administrators. You can only key in alphanumeric characters only, with no maximum character limit.
2.3.2 User Account Verification
The User Account Verification setting determines the process for granting new user accounts access to your Portal. This setting will determine the level of security and control for the users who can access your Portal.

2.3.3 User Agreement
To ensure compliance and protect your operations, you can require your users that fall within this specific segment to review and accept your customised payment terms or service conditions before a booking can be finalised.
The Enable toggle is disabled unless you have a customised user agreement for your Portal Forms section. When enabled, a dropdown allows you to select which agreement to display to users in this segment.

2.3.4 Rate Display
This setting allows you to see specific pricing rules or adjustments for this particular user segment. This ensures that your pricing strategy and refund policies are automatically applied during the checkout process, based on the individual segmentation.
2.3.5 Payment Terms
Payment Terms allows you to review your specific payment terms for this User Segment.
2.3.6 Credit Limit
This allows you and your team to manage financial risks by enforcing transaction boundaries on all accounts within a specific user segment.
2.3.7 Confirming the Segment Creation
Once you have completed all compulsory fields, select Save to create this segment with the custom configurations.
2.4 Duplicating a Segment
- To duplicate a segment, click the Duplicate icon on the row of the segment you wish to copy.
A sidebar will open with all the same segment information as the original segment. All accordion sections are expanded by default when duplicating (unlike creation, where they are collapsed) for your review.
- Once you are satisfied with your changes, click Save. The sidebar closes, you are returned to the Segments table, and the same success message will appear.
2.5 Editing a Segment
Editing allows you to update the configuration of any existing segment, including the preset segment.
- To edit a segment, click the Edit icon on the relevant row.
A sidebar will open showing the current settings. All accordion sections are expanded by default in the edit view, so you can immediately see and modify any setting without having to open each section individually.
- When you have finished making your changes, click Save.
2.6 The Preset Segment
Every portal has one preset (or also known as default) segment that is automatically created at the time of portal creation. This is a catch-all that ensures no user is left without a segment.
This generic segment would consist of your Portal generic business model, payment terms, base rate logic.
2.6.1 Preset Segment Rules

| Duplicate | ✅ Yes — you can create a copy of the preset segment as a new independent segment. |
2.7 Deleting a Segment
Deleting a segment permanently removes it from the table. Deletion is irreversible, the system enforces strict eligibility rules before allowing it.
To delete a segment, navigate to the segment list and click the Delete icon.
Not all segments can be deleted and there are some restrictions to consider:

3. Troubleshooting
| Issue | Likely Cause | Resolution |
| The Create button remains disabled even after filling in fields. | The base rate percentage field is empty, or a business model and payment terms have not been selected. | The Create button will only activate once a base rate percentage is entered and a business model and payment terms are selected. Check if this has been completed. |
| The User Agreement toggle cannot be enabled. | No user agreements have been created in the Forms section of the platform. | Navigate to the Forms section and create at least one user agreement. |
| The delete icon for a segment is greyed out and cannot be clicked. | The segment either has one or more users assigned to it (Accounts > 0), or it is the preset segment. | If the segment has accounts, reassign or remove all users from it before attempting deletion. If it is the preset segment, deletion is not permitted under any circumstances. |
| The Segments page is inaccessible. | The portal is in a Delete Pending or Deleted state, or the logged-in user does not have portal admin permissions. | If the portal is active and you still cannot access the page, confirm that your user account has been granted portal admin access. |
| Changes made in AdminBK to the default segment settings are not reflected in my portal. | This is expected behaviour. Segment data is copied only once at portal creation and is never re-synced from AdminBK. | No action is required. Your portal's segment settings are independent. If you need to reflect a change, update your segment manually via the Edit function (Point 7). |
